How to Connect Marketing Leads to Your CRM (So No Enquiry Slips Through)

Sales team reviewing their pipeline together on a laptop

If you have ever found a promising enquiry sitting unanswered in a shared inbox three weeks after it arrived, you already know the problem. The marketing worked. The lead came in. Then it fell through the gap between marketing and sales.

Connecting your marketing to your CRM closes that gap. Every lead lands in one place, with its source attached, assigned to a person and followed up on time. Here is how to do it properly, step by step.

Why leads go missing between marketing and sales

In most growing businesses, leads arrive through more channels than anyone has written down: website forms, phone calls, live chat, booking tools, ad lead forms, social messages and referrals. Each channel lands somewhere different. Some are typed into the CRM by hand, some are not, and almost none carry information about where the lead came from.

The result is predictable. Response times vary, follow-up depends on memory, and nobody can say which campaigns produce real clients.

Step 1: List every way a lead can reach you

Start with an honest inventory. Ask your team where enquiries actually come from, not where they are supposed to come from. Typical entry points include:

  • Contact and quote forms on your website
  • Phone calls, including calls from Google Business Profile
  • Live chat or an AI assistant
  • Online booking and appointment tools
  • Lead forms in Meta, LinkedIn or Google Ads
  • Emails sent directly to staff
  • Social media messages and referrals

Step 2: Decide what every lead record must contain

Agree the minimum information each new lead needs before it is useful to sales. For most businesses that means contact details, the service they are interested in, the original source, the campaign or keyword where relevant, the landing page, the date and time, and a record of consent for marketing.

Step 3: Capture the source on the first touch

Source data is easiest to capture the moment someone arrives on your website. Use UTM parameters on every campaign link, store them in hidden form fields along with the Google click ID, and keep both the first touch and the most recent touch. Without this, your CRM can tell you who enquired but not why.

Step 4: Send every channel into the CRM automatically

Manual data entry is where leads get lost. Use native integrations where they exist, such as website form plugins and ad platform connectors. Where they do not, tools like Zapier, Make or n8n can pass data from one system to another reliably. Call tracking can log calls against the right campaign, and booking tools can create contacts as soon as an appointment is made.

Step 5: Route and assign within minutes

A lead without an owner is a lead at risk. Set routing rules based on service, location, deal size or language, and notify the owner immediately. Agree a response time target, measure it, and make it visible to the team. Speed matters, because the business that replies first is often the one that wins the conversation.

Step 6: Automate the follow-up people forget

Automation should handle the reliable, repetitive parts of follow-up so your team can focus on real conversations:

  • An instant confirmation email with what happens next
  • A task for the owner with a due time
  • A short sequence of helpful follow-ups if there is no reply
  • A booking link so the prospect can choose a time
  • Automatic pause as soon as the prospect replies

Step 7: Report from source to revenue

Once the data is connected, build a simple dashboard that shows leads by source, conversion rate by source, average response time and revenue by campaign. This is where the effort pays off: you can move budget towards the channels that produce clients, not just clicks.

Common mistakes to avoid

  • Creating dozens of custom fields that nobody fills in
  • Connecting forms but forgetting phone calls and messages
  • Overwriting the original source when a lead returns
  • Automating follow-up before the message has been tested by a person
  • Launching without training the people who will use the system

A quick checklist

  • Every lead source is listed and connected
  • Source and campaign data are captured automatically
  • Every lead is assigned to an owner within minutes
  • Follow-up tasks and emails trigger without manual steps
  • A dashboard links leads and revenue to their source
